The e-Way Bill enrolment or registration is quite a very easy process on the official portal of the Indian Government (ewaybillgst.gov.in or ewaybill.nic.in). For generating the GST e-way bill, the businesses need to get registered and also need to prepare/get a GST E-waybill every single time goods are transported which are greater than the value of Rs 50,000.

The different e-way bills have very different validity periods and distances. It is authorized by the government for goods transportation. The government has decided to roll out the GST e-way bill throughout the nation after the introduction of GST. There are many steps and various provisions that are necessary for the completion of e-way bill registration and generation of the same. Let’s look at the information available on the portal for the registration of the e-way bill. The process is described below.

E-way bill Portal

The e-way bill portal is a website made by the Government of India for the registration of e-way bills, this portal is also used for generating the online e-way bill and checking various resources related to the e-way bills.

On this portal – https://ewaybillgst.gov.in/, you need to click on the ‘Registration’ button which is drop-down menu so that you can check the different options:

  1. E-way bill registration – First is the e-way bill registration. This E-way bill registration is for the GST taxpayers. It is for recipients and suppliers.
  2. Enrolment for Transporters – This is the second option that is available for the unregistered transporters who needs to enroll in the e-way bill
  3. Enrolment for citizens – The third option is available for all non-taxpayers or stakeholders. Such people need to register on the portal.

One must note that the enrolment option is available for all unregistered people while the registration needs to be completed by the registered GST businesses.

Three types of Suppliers

The registration on this e-way bill website is mandatory for generating an e-way bill, there are basically 3 kinds of different taxpayers or users involved. They are:

  • Registered Suppliers
  • Unregistered Suppliers
  • Registered or Unregistered Transporters

Both the registered or unregistered businesses and transporters need to complete the registration process for the e-way bill for generating the e-way bills for shipment of goods or transporting.

E-way bill registration process

The process of online registration of e-way bill for the registered businesses are:-

  • You must have the necessary GSTIN and a mobile number registered with the website of GST
  • Log in to the official website of e-way bill.
  • From the drop-down menu choose the ‘e-way bill registration’ option
  • Input the GSTIN and select the proceed button after which you would get immediately redirected to the e-way bill registration form.
  • In this form, you need to fill up the following: their name, address of the business, trade name which are auto-populated.
  • Select the ‘send OTP’ button. You would then receive a newly generated OTP on their mobile number that is registered
  • After receiving the one-time password, you will then need to enter the OTP on the website and select the ‘verify OTP’ button. After the OTP is validated by the system and you must verify all the information shown on the screen
  • Enter a new User Name or User ID for the website. You will need it every time you need to generate an e-way bill. One must note that the username is created can have around 8 to 15 alphanumeric characters and it can also include special characters.
  • After entering the username the system checks if the request is being submitted, it checks if there is an account with the same username and if so then the e-way bill portal will state that the username already exists. You will need to create a new one in that case.
  • After the approval of the username, you need to create a new password. This password must have a minimum of 8 characters with alphabets, numbers and special characters. The password is case-sensitive.
  • After both the User Name or User ID and Password are created and validated or approved by the system, then the registration form is submitted. If there is an error in the application form then a corresponding error message would appear.

If everything is okay, the system will send a message about the registration process on the e-way bill website being completed.

The e-way bill registration process online for the unregistered businesses

The unregistered taxpayer who doesn’t have a GST number needs to register on the e-way bill website. They will need to follow the below-mentioned process for the e-way bill registration, by entering their business details.

Here the steps to be followed by the unregistered transporters for registering for the e-way bill:

  • Step 1 – Before beginning with the registration process, you must gather all the business details and keep them handy. Visit the https://ewaybill.nic.in
  • Step 2 – Select the ‘Enrolment for Transporters’ option from the drop-down menu

Step 3 – This will take you to the registration form for the e-way bill on the website. This form also contains some of the compulsory fields that are marked with an Asterix mark (*) and those without an Asterix mark are non-compulsory fields. The applicant would be asked to fill in the following details in the e-way bill registration form:-

General and business information

  • Choose the State* – You need to select the state in which you conduct your business from the drop-down menu
    • Name (Legal)* – You must enter the same name as on your PAN card. Ensure that the name is spelled exactly the same as the PAN card.
    • Your Trade Name – If your business has a name you need to enter that name
    • PAN* – You must enter your PAN number and select the validate button after which you will be able to enter the remaining details
    • Enrolment Type* – You need to enter the type of enrolment whether you have a warehouse, godown, depot, transport services or cold storage 
    • Constitution of the Business* – You need to enter information about the nature of the business whether it’s a partnership firm, a foreign company, proprietorship, private limited, public limited, private limited, etc.
    • Details of the Main Place of the Business – The basic details of the main business place
    • Details of the Principal Place of the Business and the Contact Information – Contact number and other details to be entered here.
    • Flat No./Building No.* – Number of the place of business
    • Floor No.* – Floor of the place of business
    • Building/Name of Premises* – Area name of the place of business
    • Street/Road* – Street of the place of business
    • City / Locality / Town / Village* – Locality of the place of business
    • Taluka / Block* – Block of the place of business
    • District* – District of the place of business
    • PIN Code* – Pin code of the place of business
    • State* – State of the place of business
    • Latitude – Latitude in degrees of the place of business
    • Longitude – Longitude in degrees of the place of business
    • Email Address* – Your business or personal email address
    • Telephone Number with STD – Your telephone number with the STD code of the state
    • Fax Number with STD -Your fax number with the STD code of the state
    • Premises Nature – You have to select whether the business place is leased, owned, rented, shared, consent or others. Click on the proceed button. One must note that the mobile number and email address would be later used for authentication purposes in the e-way bill portal

Aadhar card information

  • After clicking on the proceed button, the portal asks for the Aadhar number of the applicant if he/she is the Head of the Company or Firm or Proprietor Choose Yes or No.
  • If the “Yes” option is chosen, then you need to check the box which authorizes the GSTN for obtaining the details from the UIDAI for verification purpose
  • Aadhar No* – Enter the Aadhar number
  • Name* – Enter the name as per the Aadhar card
  • Mobile No* – Enter the mobile number as per the Aadhar card
  • Select the ‘Verify Detail & Send OTP’ button, after verification the system sends an OTP to the mobile number that is registered on the UIDAI
  • You need to enter the OTP which you have received on your registered mobile number
  • Click on the ‘Verify OTP’ button. This would complete the verification process for the Aadhar number.

Upload documents

  • Address Proof – Upload the proof of address of the business. Select Choose file option to browse and click on the Upload button.
  • ID Proof – Upload the ID proof of the business. Select Choose file option to browse and click on the Upload button.
  • One must note that there is no file format mentioned or any size specified but it is advised to upload a JPEG or PDF file.

Login Details

  • Username – Enter a new User Name or User ID for the website. You will need it every time you need to generate an e-way bill. One must note that the username is created can have around 8 to 15 alphanumeric characters and it can also include special characters.
  • After entering the username the system checks if the request is being submitted, it checks if there is an account with the same username and if so then the e-way bill portal will state that the username already exists. You will need to create a new one in that case.

  • Confirm Password* – Re-enter the password and click on the ‘Proceed’ button.
  • After both the User Name or User ID and Password are created and validated or approved by the system, then the registration form is submitted. If there is an error in the application form then a corresponding error message would appear. Now, click on the checkbox stating the information provided by the applicant is correct.
  • Click on the ‘Save’ button.

Verification

  • Step 4 – After the form is saved, the e-way bill would generate a new 15 digit TRANS ID or Transporter ID with the user details. This completes the e-way bill registration process.
  • Step 5 – Now the applicant needs to provide the same 15 digit TRANS ID or Transporter ID to its clients for inclusion in the e-way bill. The applicant can easily access the details through the e-way bill website by entering the vehicle number for the movement of consignment.

GST Unregistered Supplier Registration for E Way Bill:

In case if the supplier is unregistered then the registered receiver to whom the goods are being transported would need to comply with this procedure and needs to generate the e-way bill for the supplier. So in this case the e-way bill generated by the receiver instead of the transporter.

Different tips for creating username/User ID and password:

  • a) For the User ID, you must do the following:
    • The username must have a minimum of 8 characters and have a maximum of 15 characters
    • It can contain alphabets in the smaller case as well as in the upper case, numerals (0-9) and also special characters (@, #, $, %, &, *, ^)
  • b) The password must have a minimum of 8 characters
  • c) Ensure that the credentials must be stored safely if written down and not shared publicly. The username and password will be used for logging in to the portal.

1. What is the use of e-way bills?

This bill is used to check if the goods which are being transported are in compliance with GST and is used to track the goods and prevent tax evasion.

2. Can we use one e-way bill for various invoices?

No, for each invoice there is a single e-way bill as each invoice is considered one consignment.
